What makes BB different from other AI tools?

Most AI tools are single-user and session-based — you start fresh every time, and nobody else can see your work. BB is different in two ways: it works at the project level (so it always has context about what you're actually doing), and it's built for teams (so your whole team works from the same shared workspace, not separate silos). Your AI isn't just helping one person. It's helping your whole team move forward.

Which AI does BB use?

BB works with multiple AI providers. You choose which one to use, and you can switch at any time — your projects and collaborations stay exactly as they are. This means you're never locked into one provider, and you can pick the model that works best for each kind of task.

Do I need technical skills to use BB?

No. You describe what you're trying to achieve, and BB figures out the how. You don't need to know how to code, structure prompts, or manage files. BB is used by developers, researchers, writers, and business teams — the interface is the same for everyone.

Teams & Workspaces

Can I add my staff to a team?

Yes. One person creates the team (they become the team owner), and others join as members. Each member gets access to the team's shared workspaces and all the projects inside them.

Team membership management is currently in development — the Settings page shows a 'coming soon' notice. To add team members now, contact us and we'll get your team onboarded. You can supply a list of accounts to create; everyone will receive a welcome email with instructions to set their password.

Who else can see a project I create in a shared workspace?

Everyone on your team. All projects inside a shared workspace are visible to all team members — and so are all the collaborations within those projects. This is intentional: the whole point of a shared workspace is that everyone works from the same context. If a teammate has already had BB research something or produce a draft, you can pick up exactly where they left off.

Does everyone on my team see the same files?

BB reads file contents as part of doing work — your team doesn't see a file browser. What's shared is the work BB has done with those files: summaries, analysis, drafts, and the conversation history. The underlying files live wherever you've stored them (your local system, Google Drive, etc.) — BB accesses them through data sources that you configure per project.

Can I have private projects and collaborations?

Yes. Every user has a personal workspace that is completely private — no other team members can see it. Projects you create inside your personal workspace, and all collaborations within them, are visible only to you. Use your personal workspace for work in progress you're not ready to share, or for anything that doesn't belong to the team.

Can I restrict which files BB can access for a project?

Yes, at the project level. Each project has its own data sources — connections to your files and services. You can scope a data source to a specific folder, so BB only works with files relevant to that project. For example: create a Google Drive data source for a client project and point it at just that client's folder. BB won't touch anything outside it.

Projects & Collaborations

What is a project?

A project is a container for related files and work. It connects to your files through data sources, and it's where you start collaborations with BB. Projects can cover anything — a research topic, a client engagement, a software codebase, a content campaign. BB uses the project's context to give you more relevant, accurate help.

What is a collaboration?

A collaboration is a conversation between you (or your team) and BB, within a project. Each collaboration has its own focus or objective. You can have multiple collaborations within a project — for example, one for research and another for drafting. Collaborations in a shared project are visible to your whole team, so anyone can read, continue, or build on them.

Should I start a new collaboration or continue an existing one?

Start a new collaboration when you're moving to a different aspect of a project — this keeps things organised and makes it easier for teammates to follow the work. Continue an existing collaboration when you're building directly on what was already discussed. Either way, BB has access to the full project context, so it's always working from the right foundation.

Your Data & Privacy

Where does my data go?

By default, BB uses BB Cloud to store your projects, collaborations, and memories. This is what makes team features possible — your whole team can access the same workspace from anywhere, without setting up shared infrastructure.

If you prefer to keep data off the cloud, BB offers two alternatives:

  • Local-Only mode: everything stays on your own machine. BB uses a locally-hosted AI model and nothing leaves your computer. Best for individuals or small teams with strict data requirements.
  • Enterprise mode: your organisation hosts BB on its own server or cloud VPC. You get the same local-data benefits, but for a whole team — without relying on BB's cloud infrastructure.

The trade-off is straightforward: BB Cloud is the simplest setup and enables full team collaboration. Local and Enterprise modes give you more control over where your data lives.

Can I use BB without connecting to any external services?

Yes. BB has a Local-Only mode that runs entirely on your machine using locally hosted AI models — no data leaves your computer. This is suitable for organisations with strict data handling requirements or anyone who prefers to keep everything in-house.

Common Questions

Can BB work with PDFs and documents?

Yes. BB can read and work with documents in a range of formats including PDF, Word, and plain text. You can point a project at a folder full of research papers, contracts, reports, or reference documents — BB reads them as needed and uses them to answer questions, identify patterns, or generate outputs.

Can BB help with tasks across multiple tools and services?

Yes. BB connects to external tools and services through MCP (tool connections), letting it read from and write back to the services your team already uses. It can also generate code to integrate with almost any service that has a published API. The goal is to enhance your existing workflow, not replace it.

Does BB remember previous work?

Yes. BB has a persistent memory system — it stores facts, preferences, and decisions, and recalls them when needed. You don't have to re-explain context every time you start a new collaboration.

Memories have three scopes, so you control what gets shared and with whom:

  • Workspace-level: shared across your whole workspace — visible to all team members. Use this for team conventions, client context, or anything the whole team should know.
  • Project-level: shared across all collaborations within a single project. Useful for project-specific decisions, architecture, or domain knowledge.
  • Collaboration-level: specific to one collaboration only. Good for temporary notes, experiments, or work in progress.
